Streamlining Business Communication: Enhance Productivity with InterProWebHost’s Email Solutions

Two colleagues coordinate work through business email

Choose business email around the work your team does. Titan focuses on branded mailboxes and customer follow-up. OX App Suite combines email with shared organization and an optional productivity upgrade. Google Workspace adds Gmail to a wider set of collaboration and administration tools. Compare the specific plan, migration scope and responsibilities before moving your domain.

A professional address is useful, but a successful setup also needs clear ownership: who answers enquiries, who manages access, where important messages are retained and how website forms send mail. This guide helps you compare the current InterProWebHost options and prepare those details.

1. Start with people, addresses and daily work

List the people who need their own mailbox, then the public addresses your business uses, such as sales, accounts or support. An alias is another address attached to a mailbox; it is not automatically a separate inbox, login or team workflow. Confirm how each service handles shared access, groups and replies before counting licenses.

  • Mailboxes: Record users, current storage, growth, attachments and any mail stored only on a device.
  • Collaboration: Identify shared calendars, contacts, document editing, file sharing and meetings the team actually uses.
  • Access: List webmail, phones, desktop clients and the person responsible for administration.
  • Connected systems: Include website forms, invoicing software, CRM messages and any other service that sends as your domain.

For example, a hypothetical consultancy may need individual consultant inboxes and one accounts address, while collaborating in shared documents every day. A shop mainly handling customer replies may have different needs. Use those workflows to compare plans instead of assuming every address needs the same package.

2. Compare the three InterProWebHost email options

The current service pages describe three distinct paths. Storage figures below describe the advertised plan allocation; mailbox capacity and a collaboration suite’s pooled storage are different measures.

OptionCurrent plan structureA practical reason to consider it
Titan Business EmailProfessional: 5 GB per mailbox; Business: 10 GB; Enterprise: 50 GB. Calendar and contacts accompany email; advanced tools vary by plan.Your main work is email and customer follow-up.
OX App SuiteBase: 10 GB mailbox. Productivity: 25 GB mailbox plus 25 GB cloud file storage and online office tools. You want email, shared calendars, contacts and tasks, with a browser productivity upgrade.
Google WorkspaceBusiness Starter: 30 GB pooled storage per user; Standard: 2 TB; Plus: 5 TB. Gmail sits alongside Google collaboration apps.Your team needs shared documents, files, meetings and centralized administration.

With Titan Business Email, Business adds tools such as read receipts and templates; Enterprise adds features including follow-up reminders and send later. Check plan and interface support for AI tools, scheduling and other advanced capabilities. Features available in Titan’s own apps may differ from a third-party email client.

With OX App Suite, OX Drive and OX Documents belong to the Productivity plan. Optional Open-Xchange modules, including OX Guard, AI integration and ActiveSync, are not included unless your order or written scope expressly lists them. The broader platform’s feature list is not your subscription entitlement.

With Google Workspace, compare the actual edition’s meeting, storage and administration features. Standard includes meeting recording; Plus adds Vault retention and eDiscovery. Gemini capabilities vary by plan and licensing. Confirm the features your team needs instead of treating every Workspace edition as interchangeable.

3. Compare the full cost and support scope

Build your total from the number of licensed users or mailboxes and the chosen billing term. An annual plan advertised as a monthly equivalent can require the full year upfront. Check renewal amounts, taxes, domain registration, additional storage or tools, and how adding or removing users affects the commitment.

Allow time for mailbox preparation, migration, device setup and staff training. Ask what the provider will configure, what you must supply and who signs off the result. InterProWebHost’s service pages describe DNS, authentication and migration planning support; actual eligibility, quantities, limits and exclusions are governed by the Migration Policy and the agreed service scope.

If you are also reviewing website services, the Small Business Growth Stack currently includes three Titan Professional mailboxes with 5 GB each. Additional mailboxes and migrations are separate. Its website backup allowance should not be assumed to back up your email.

4. Plan the move before changing mail routing

Changing MX records directs incoming mail to a service; it does not copy historical messages. A migration needs its own plan for messages, folders, contacts, calendars, aliases and shared resources. What can transfer depends on the source, destination, access and chosen tool.

  1. Inventory and preserve. Record mailbox sizes, addresses, forwarding, devices and automated senders. Retain independent copies of important data before changing service.
  2. Prepare the destination. Verify domain ownership, create users and agreed aliases, check storage and configure access. Confirm a separate method for contacts and calendars where needed.
  3. Pilot a representative mailbox. Review import reports, older messages, sent items, attachments and folder organization. Resolve failures before scheduling everyone else.
  4. Coordinate the cutover. Agree the DNS change window, authentication records, user instructions and a recovery plan with the responsible administrator. Keep the old service available while delivery and data are checked.
  5. Test and accept. Test sending, receiving, replies, devices and website forms. Check mail arriving during the transition and use a supported follow-up import if needed. Retire the old service only after the agreed data and delivery checks pass.

Titan’s IMAP import guidance covers email, not contacts or calendars, and excludes Spam and Trash. Google’s data import guidance also distinguishes what each source supports. Do not assume that a successful mailbox import has moved every business record.

If the website is moving too, coordinate the work with our hosting migration checklist. A nameserver change can affect both web and email records, even when the mailbox provider stays the same.

5. Configure the domain and every legitimate sender

Email uses several DNS records with different jobs. Use the values issued for your chosen service and domain; copying another business’s records can break delivery. Include third-party senders before tightening authentication policy.

RecordWhat it doesWhat to verify
MXDirects incoming email to the receiving service. The destination mailboxes exist and the domain uses the intended provider’s values.
SPFIdentifies systems authorized to send for the domain used in the envelope sender.Maintain one SPF record for each relevant domain, accounting for all legitimate senders and DNS lookup limits.
DKIMPublishes a key used to verify the sending service’s message signatures.Enable signing and publish the correct selector and key for each sending service.
DMARCChecks alignment with the visible From domain and defines reporting and requested treatment of failures.Review reports and legitimate mail flows before moving to stricter handling.

Test a real enquiry form, invoice and CRM message as well as ordinary mailbox mail. For a contact form, use an authenticated address on your domain as the sender and the visitor’s address as Reply-To where supported. Review bounces and authentication results when something fails. Google’s sender guidelines explain authentication and delivery requirements; some additional rules apply to higher-volume senders. Correct records do not guarantee inbox placement.

6. Protect access and retain recoverable data

Give each person their own account and assign only the access they need. Confirm two-factor authentication support on the selected plan, enable it where available and keep recovery information under business control. Use supported delegated access or group workflows instead of sharing a password for a public address.

Titan’s two-factor authentication guide explains recovery codes and links to app-password setup for supported external clients. Follow current provider instructions for the exact client; do not disable account protection merely to reuse an old device configuration.

Decide who retains important messages, how long they are kept and how you would recover them. The current OX service explicitly states that InterProWebHost does not maintain OX Email backups: customers must retain independent copies. For every option, distinguish synchronization, retention and a separate backup. Check recovery scope and rehearse retrieval of a sample message.

Keep an offboarding checklist: transfer required business data, review shared resources, revoke sessions and access, and handle future mail before removing an account. Independently verify unexpected requests to change payment details. Spam filters and authentication reduce some risks, but they do not make every message trustworthy.

7. Make the daily workflow easier to run

Agree who owns each public address, who provides cover and when a conversation should be reassigned. Use shared calendars for availability and a consistent approach to signatures, folders and replies. Templates can help with repeated questions, but check names, facts and commitments before sending.

Treat read receipts as a feature with limits, not proof that someone understood or accepted a message. Review AI-assisted drafts for accuracy and confidential information. Track useful operational outcomes, such as unanswered enquiries and completed handoffs, rather than assuming that buying more features improves communication on its own.

8. Choose a plan with a clear launch checklist

Shortlist the option that fits your daily work, then bring your mailbox inventory, domain details, devices and migration requirements to the discussion. Agree the plan, billing commitment, included setup, administrator responsibilities and acceptance checks before scheduling the move.

Start with the current Titan, OX or Workspace plan comparison linked above. For an email-focused team, compare Titan’s mailbox plans; for broader collaboration, check the OX Productivity and Workspace options against the tools your staff will use. Keep your website, customer forms and existing mail in the plan from the beginning.

Frequently asked questions

Can I keep my existing business email address?

Usually, if you control the domain and recreate the required mailbox or alias at the destination. Historical messages still need to be transferred separately. A provider-owned consumer address is a different case from an address on your own domain.

Does every alias need a paid mailbox?

Not necessarily. Aliases, groups and licensed users serve different purposes. Confirm the service’s limits, reply behavior and shared-access model before deciding how many subscriptions to buy.

Do I have to move my website to change email providers?

No. Website hosting and email can use different providers on the same domain. Coordinate DNS carefully so the website continues resolving while the intended email records change.

Will all my contacts and calendars move with email?

Do not assume so. IMAP tools generally move mail, while contacts, calendars and shared resources may need separate methods. Agree the scope and test representative items before accepting the migration.

Does business email include a backup?

Check the specific service. InterProWebHost does not maintain OX Email backups. Confirm independent protection for important mailbox data in any plan; file synchronization or a website backup does not establish email recovery coverage.

Can authentication stop every spam or phishing message?

No. SPF, DKIM and DMARC help receivers evaluate domain use, while filtering addresses other signals. Account protection, staff judgment and verified payment procedures remain necessary. No configuration guarantees that every legitimate message reaches the inbox.
