Use this legacy guide to remove individual messages from an Outlook 2019 mailbox. For cPanel accounts connected through IMAP, changes synchronize with webmail and other devices, so deleting mail can affect everyone using that mailbox.
Outlook 2019 support ended on October 14, 2025. Use a supported email application for ongoing use. This legacy guide and video describe classic Outlook 2019, not new Outlook.
Before you start
- Confirm the account type and keep an independent copy of records that must be retained. A synchronized folder in the same mailbox is not an independent backup.
- Inspect the current selection carefully, especially in search results or conversation views. Avoid permanent-delete shortcuts while checking how this account handles deleted mail.
Instructions
Select the intended email
Open the correct mailbox and folder, then select one message you no longer need. Check the subject and sender before deleting it.
Use the ordinary Delete action
Choose Delete on the ribbon or press Delete with the message selected. Do not choose to empty the entire folder for a single-message task.
Check Deleted Items or Trash
Find the account's deleted-mail folder and inspect the result. Folder names and deletion behavior can vary with the provider and account configuration.
Restore a mistake before purging
If the message is still in that folder, move it back to Inbox or the appropriate folder. Review retained records before using any permanent removal action.
Check the result
- For IMAP, allow synchronization and check the same mailbox in webmail. Confirm that only the intended message changed and that any restored message is visible.
Troubleshooting
- There is no Recover Deleted Items option
- Recovery features depend on the account type. Do not assume a cPanel IMAP mailbox has Exchange recovery; check Deleted Items, Trash and available backups.
- A permanently removed message is needed
- Stop further cleanup and contact support with the mailbox, subject and approximate date. Recovery depends on existing backups and cannot be guaranteed.
