Use this legacy Outlook 2019 guide to answer an existing message without losing the conversation context. Reply and Reply All reach different audiences, so review the recipients before adding information intended for only one person.
Outlook 2019 support ended on October 14, 2025. Use a supported email application for ongoing use. This legacy guide and video describe classic Outlook 2019, not new Outlook.
Before you start
- Read the complete message and decide who needs the answer. Be especially careful with group discussions, shared addresses and conversations containing private customer details.
- Confirm which mailbox received the message and which address should send your response. Have any revised attachment ready to add explicitly.
Instructions
Choose the reply audience
Select the message, then Reply to answer the sender or Reply All to include the original To and Cc recipients.
Review the fields
Check From, To and Cc and remove anyone who does not need the response. Use Pop Out if you prefer composing in a separate window.
Write your answer
Keep the relevant context and address the sender's request. Replies do not automatically include the original attachments, so attach a required file or revised version yourself.
Send and inspect the result
Select Send after reviewing the content and addresses. Check the saved copy in Sent Items to confirm the response used the intended business account.
Check the result
- Confirm that the reply is no longer in Drafts or the Outbox. If delivery matters immediately, check for a bounce or ask the recipient to confirm receipt.
Troubleshooting
- The original attachment is absent
- That is normal for a reply. Attach the needed file deliberately, or forward the original message if a new recipient needs its existing attachments.
- The response is addressed to unexpected people
- Recheck whether Reply All was selected and inspect expanded addresses. Cancel or revise the draft before sending; changing your view of the thread does not change its recipients.
