Forward a selected email when a new recipient needs its information or attachments. This classic Outlook 2019 action creates a new outgoing message; it does not automatically forward future mail arriving in the mailbox.
Outlook 2019 support ended on October 14, 2025. Use a supported email application for ongoing use. This legacy guide and video describe classic Outlook 2019, not new Outlook.
Before you start
- Review the original conversation, recipient addresses and attachments before sharing it outside the current discussion. Confirm that the destination should receive all included material.
- Check which mailbox should send the forward. If you need ongoing forwarding for a cPanel address, configure an account forwarder separately instead.
Instructions
Open the forwarding draft
Select the message and choose Forward from the message controls or ribbon. Start with one message so the included conversation is easy to review.
Choose recipients
Enter the new destination in To and confirm any Cc or Bcc addresses. Check the From account if Outlook offers more than one sending identity.
Explain the context
Add a brief explanation above the original message. Review the quoted thread and included files; a normal forward includes the original attachments.
Send the reviewed message
Remove any unnecessary attachment or confidential material, then select Send. Keep the sent copy as a record of exactly what you shared.
Check the result
- Open Sent Items for the chosen account and confirm the destination and files. If the recipient reports a missing file, compare with that sent copy before sending again.
Troubleshooting
- The wrong conversation was included
- Discard or revise the draft before sending and select the intended individual message. Expand a grouped conversation to inspect which email is selected.
- The forward is too large to send
- Review attachment sizes and the provider's limit. Remove unnecessary files or use an approved sharing method; do not repeatedly resend the same queued large message.
